Case Study: Regulatory Compliance

Taking Compliance Training Online Saves Time, Money, And Worker Morale

Overview

Ensuring your organization remains compliant is no easy feat. Doing so at scale is daunting, at best. Your managers need help to ensure that your compliance and regulatory training is rolled out smoothly, completed and tracked for reporting or audit purposes. Automation rules for learner cohort creation; course and course path assignment; deadline reminders; progress notifications and scheduled reporting let Inquisiq handle (and scale) the mundane activities, letting your learners, managers and administrators focus on what matters most.

Challenge

A global consulting company’s rapid growth had led to a dramatic increase in its personnel – over 5,000 full- and part-time staff worldwide. The consultancy was using classroom instruction to deliver compliance training, and it tracked the training via spreadsheets. But this approach had three main problems: it was costly, employees took too long to meet new compliance mandates, and it was difficult to verify who had taken training. The increased number of employees across the globe exacerbated those issues.

The consultancy decided to move to a formal and structured employee training program to ensure consistent workplace practices and to mitigate the risk of noncompliance. It turned to an e-learning delivery model and needed a learning management system (LMS) to manage the program.

Solution

They selected HR Learn, a next-generation LMS, to help solve compliance training and regulatory training challenges. One of the biggest challenges was helping employees find time for training in their already crammed work schedules. The LMS enabled learners, managers, and program administrators to access courses via any Internet-connected device, at any time, without having to download or update an app.

The consultancy used the LMS to create a branded training portal, complete with its logo, corporate colors and related graphics and fonts. That portal provided employees in all divisions and locations across the globe with a consistent user experience. HR Learn’s contemporary, intuitive interface also helped to reduce learners’ frustration with the demands of course taking.

Managers also used the LMS to automate the following tasks:

  • Creating learner cohorts
  • Assigning courses and course paths
  • Online registration and enrollment
  • Sending reminders for deadlines and notifications of recurring compliance assessments and expiration
  • Distributing scheduled reports
  • End-to-end management of e-learning courses, web meetings and classroom-based events
  • Sharing progress notification

The LMS also offered a wizard-based utility for uploading SCORM-compliant training and assessment content from third-parties.

The system tracking and reports helped managers and administrators verify which employees had taken the training and the related assessments. The LMS also delivered a customized, printable certificate to each learner as they completed a course.

Results

By letting HR Learn handle and scale routine activities, managers and administrators could ensure that the training was smoothly rolled out as well as completed and tracked, all while having time for other responsibilities. The online delivery of courses, plus easy access to reports for training managers and business leaders, resulted in a significant reduction in the time and costs associated with the compliance training.

Having a single point of access for company-made and off-the-shelf courses, materials, and online assessments increased employees’ use of the training as well as their completion rates. And the consultancy achieved its objective of substantially lessening the time it took to comply with regulations and company standards.
